NAME: Definition and Repeatability of Subfield $d in Field X11 of the MARC 21 Bibliographic and Authority Formats

Discussion Paper No. 2017-DP08: Definition and Repeatability of Subfield $d in Field X11

1. BACKGROUND

Field X11 (Meeting Names) of the MARC 21 Bibliographic and Authority Formats defines subfield $d as “Date of meeting (NR)”.  It is indicated as occurring only in the name portion of an X11 field.

This becomes an issue when the cataloger wishes to make a 411 “see from” reference from a name/title form of a treaty entry to a 130 title entry.  In this case, the 411 field can contain both the name and date of a meeting to negotiate or authorize a treaty and, in the title portion of the 411 field, the date of the treaty.

Field X10 (Corporate Names) of the MARC 21 Bibliographic and Authority formats defines subfield $d as “Date of meeting or treaty signing (R)” and indicates that it can appear in both the name and title portions of an X10 field.

Field X30 (Uniform Titles) of the MARC 21 Bibliographic and Authority Formats defines subfield $d as “Date of treaty signing (R)”.

Field 240 (Uniform Title) of the MARC 21 Bibliographic Format defines subfield $d as “Date of treaty signing (R)”.  Currently, the combination of a 111 bibliographic field containing meeting date and a 240 bibliographic field containing a treaty signing date, both coded subfield $d, could not be established in the MARC 21 Authority Format as a field 111 name/title authorized access point.

2. DISCUSSION

To ensure greater uniformity in the use of subfield $d, the definition and repeatability of subfield $d in X11 field should be modified to match the treatment in X10:

Name and title portions
$d   Date of meeting or treaty signing (R)

Making this change in both Bibliographic and Authority Formats will allow conventions which would enter a treaty title under a meeting name to be more uniformly coded in MARC21.

The examples illustrate the coding that would be possible after the change to MARC 21 to enable repeatability for subfield $d in X11 fields.

Bibliographic Format (examples based on a hypothetical standard that names treaties by combining the authorized access point for a corporate body creator with the preferred title for the treaty):

4. BIBFRAME DISCUSSION

The vocabulary for BIBFRAME 2.0 (http://id.loc.gov/ontologies/bibframe.html) includes the property “legalDate” defined as “Date of legal work, or promulgation of a law, or signing of a treaty.”

5. QUESTIONS FOR DISCUSSION

5.1. Is there a demonstrated need to redefine and enable repeatability for subfield $d (Date of meeting) in field X11 of the MARC 21 Bibliographic and Authority Formats

5.2. Does MAC have any interest in exploring whether date of meeting and date of treaty signing need to have different subfield values, since they can appear together in the same field?
