The most-frequently used method to record holdings data is to provide the standard code or name of the library holding the bibliographic item and the location where the bibliographic item is stored in the library. Holdings field 852 (Location) identifies the library holding the item. Likewise, it may also contain detailed information about how to locate the item (i.e., the call number to a book). Most holdings records contain field 852.

The examples of holdings records in this guide are based on records from the Library of Congress and other files. Some of the information has been, however, changed to illustrate the fields described in this guide, thus the library is always shown as ABC Public Library. The examples are first shown in a tagged display, which may be used by data editing screens found in library systems. They are also shown in a formatted display as the data from the holdings record may be viewed by library patrons and librarians.

A MARC record appears as block of data to a programmer, illustrations of which are in the Sample Record Parts of the Understanding MARC Bibliographic and Understanding MARC Authorities guides, and how the Directory works is explained. The tags do not appear before the fields, but the Directory to the data tells which tags should be used and where each field starts (in other words, where each tag belongs). Usually, only the computer programmer and the computer come into contact with the record in the MARC 21 communications format.
If a librarian viewed a MARC 21 record in a library automation system, the data entry screen may look like the tagged displays below. The descriptors in the left-hand column are not stored in a MARC record. They are part of the software program's screen display. Most systems are designed so that records may be edited to add other fields containing local information.
Tagged Display: Most data editing screens are called "tagged displays" because they show the MARC 21 tags, inserted where they belong, as directed by the Directory. A computer program has been written to do this tagging.
Formatted Displays: The type of screens that OPAC patrons use is formatted, since MARC tags would be meaningless to the general public. Within each particular OPAC program is a routine that formats each record in the way the designers thought would best serve the public using the online catalog. Examples of such displays are included for each holdings record below.
This example shows four levels of holdings records for a serial, each a little more detailed than the previous one. Libraries may choose to record holdings at any of the levels, depending on their user needs and system capabilities. In the formatted displays, only the holdings information is given here.
